1. Introduction
Welcome to SoU The Spa (“we,” “our,” or “us”). By booking an appointment, visiting our spa, or using our website, you (“client” or “you”) agree to these Terms & Conditions.
Our services are non-medical, wellness-focused treatments designed for relaxation, skin maintenance, and scalp care.
2. Non-Medical Disclaimer
SoU The Spa is not a medical facility and does not diagnose, treat, or cure medical conditions.
All services are for cosmetic and wellness purposes only.
If you have a medical condition or are under medical treatment, please consult your doctor before receiving our services.
3. Appointments & Scheduling
All appointments must be booked online, by phone, or in person.
A valid credit card may be required to hold your appointment.
Please arrive 10 minutes early to change, use the restroom, and prepare for your treatment.
If you arrive more than 30 minutes late, your appointment will be considered a no-show and a $20 fee will be applied. Rescheduling is recommended; however, if you choose to keep your appointment, the service time will be adjusted according to the remaining time available.
4. Cancellation & No-Show Policy
To respect our Estheticians’ time:
Cancellations made within 24 hours of the appointment may incur a $20 cancellation fee.
No-show appointments will be charged $20.
If we need to cancel or reschedule due to an emergency (Esthetician illness, equipment failure, severe weather, etc.), we will notify you promptly and assist with rebooking.
5. Payment & Refunds
Payment is due at the time of service.
Package Validity:
A 10-session package is valid for two (2) years from the date of purchase.
A 5-session package is valid for one (1) year from the date of purchase.
Package Refunds:
If a refund is requested after purchasing a package, the value of any used sessions will be deducted based on the regular single-session rate.
A 10% cancellation processing fee of the original package price will be applied.
Refunds requested due to a change of residence shall also be subject to the above package refund policy.
Prepaid services or deposits may be applied toward future appointments if rescheduled within the allowed time frame.
Prices are subject to change at any time.
6. Health & Safety Disclosure
By receiving services, you confirm the following:
You have disclosed any relevant health conditions, allergies, sensitivities, or skin/scalp issues.
You understand that certain reactions (redness, mild irritation, temporary discomfort) may occur depending on your skin or scalp condition.
You agree to inform your Esthetician immediately if you feel discomfort during treatment.
We reserve the right to refuse service when a treatment may not be safe or appropriate.
7. Liability Waiver
By receiving services at SoU The Spa, you agree that:
Results may vary based on your skin and scalp condition.
We are not responsible for adverse reactions caused by allergies, undisclosed conditions, or home-care products.
You release SoU The Spa, its owners, employees, and contractors from any liability for injury, loss, or damages arising from the services received, except in cases of proven negligence.
8. Personal Belongings
Please secure your personal items. SoU The Spa is not responsible for lost or damaged belongings.
9. Use of Photos (Optional Consent)
With your permission, we may use before/after photos for educational or marketing purposes. Photos will never be shared without your verbal or written consent.
10. Products & Retail Purchases
Opened skincare or haircare products are not eligible for return due to hygiene and safety reasons.
Defective or damaged products may be exchanged within 30 days with proof of purchase.
11. Gift Cards
Gift cards are non-refundable and cannot be redeemed for cash.
They may be used toward any service or retail product unless otherwise stated.
Lost or stolen cards cannot be replaced.
12. Privacy Policy
We collect your name, contact information, and appointment history solely for booking, communication, and treatment purposes.
Your information will never be sold or shared with third parties, except as required to operate our booking system or comply with the law.
13. Website Use & Content
All website content, including text, photos, and branding, is the property of SoU The Spa.
We may update these Terms & Conditions at any time, and changes will take effect upon posting on our website.
14. Governing Law
These Terms & Conditions are governed by the laws of the Commonwealth of Virginia, without regard to conflict-of-law principles.
